Orders are worked out from your bookings, updated as they change, and approved by you on WhatsApp before anything goes to a supplier.
Food ordering automation
Your weekly food order is created automatically from your bookings and updates itself as bookings change, so you buy what you’ll use and never run short.
Breakfast and welcome packs are planned from your bookings. Restaurant orders also use your till’s sales history, so walk-in trade from locals and day visitors is included.
- Created every Monday.A draft order for the week is built from confirmed bookings: guests each night, breakfasts, and arrivals needing a welcome pack.
- Worked out for you.Quantities come from a per-guest list we agree once, minus what’s already in stock from a 2-minute stock check on your phone.
- Updated as bookings change.When a booking comes in, changes or is cancelled, the order adjusts itself and WhatsApp tells you what moved, for example “+40 eggs, +10 L milk: new booking Fri to Sun”.
- Approved, then sent.Before each supplier’s cut-off, you get the final order on WhatsApp. Reply OK or change it, and it goes to the supplier by email or their ordering site.
- Tuned daily, weekly or monthly.We compare what was ordered with what was used, and adjust quantities to cut waste.
Bank holidays and big local events are flagged in advance, so busy weekends are ordered for early. Guest numbers come from the booking confirmation emails, not the calendar sync, so this works best alongside inbox management.

Drink ordering automation
Your bar and drinks orders are planned from bookings and the time of year, so you’re stocked for busy weekends without cash tied up in slow-moving stock.
Bar orders use both your bookings and your till’s sales history, so walk-in trade from locals and day visitors is included.
- Forecast from bookings.Guests each night, plus any group, wedding or event bookings, set the base for the week.
- Adjusted for the season.Bank holidays, the summer peak and local events such as regattas and festivals raise the forecast. Quiet months lower it.
- Checked against stock.A quick weekly count on your phone of kegs, spirits, wine, soft drinks and welcome bottles, with each item ordered back up to an agreed level.
